Reasons Why a Product is in-Stock on the Source Site and 'On Hold' or OOS ( Out-of-stock) on AutoDS

Understand the main causes of stock mismatches and how to fix them to keep your listings accurate and avoid lost sales

Introduction

When selling online, it’s common to see mismatches between product availability on your supplier’s site and the status shown in AutoDS or your selling platform.

This article explains the reasons behind these discrepancies and how to solve them, ensuring your listings stay accurate and your business runs smoothly.

Benefits

  • Identify and fix issues such as incorrect variation settings, unsupported sellers, or low stock limits.

  • Gain better control over which products remain active in your store.

  • Avoid unnecessary losses caused by inaccurate stock updates.

Tip 💡

A stock and price monitoring tool is one of the most important things you can do to automate your business.

'On Hold' status explained

When a product is marked as On Hold in AutoDS, it means the item is available on the source site but conflicts with one of your AutoDS settings. As a result, AutoDS temporarily restricts the item from being sold.

Common reasons

  1. Over time shipping → The item’s shipping estimate exceeds your “Maximum Shipping Days” setting. Check supplier delivery policies and adjust AutoDS accordingly.

  2. Low stock threshold → Supplier stock falls below your “Minimum Product Quantity.” Update your threshold if needed to keep selling.

  3. Default quantity set to 0 → A product variation may have been uploaded with 0 quantity. Go to Variants → Edit and update the value.

  4. Non-membership seller (not Amazon Prime, Walmart+, etc.) → Blocked unless allowed in AutoDS settings. Check your AutoDS account preferences to enable/disable marketplace sellers.

  5. Expedited shipping only → If only costly expedited shipping is available (often visible at checkout), AutoDS blocks the product to protect you from losses.

  6. New Source ID detected → If an ASIN or supplier ID changes, AutoDS requires review. Confirm or replace the monitored item in your dashboard.

Out of Stock (OOS) status explained

AutoDS marks a product as Out of Stock if the last scan detected it as unavailable at the supplier.

Common scenarios

  1. Product removed or sold out → Supplier no longer offers the item.

  2. Temporarily out of stock → Product is marked as unavailable until restocked.

  3. Condition changed → Item changed from New to Used/Refurbished, which AutoDS doesn’t support by default.

Note:

  1. When you open a product link from the AutoDS products page, the information displayed comes from your own connected account. In most cases, this may show an outdated version of the supplier’s website. AutoDS monitoring, however, is performed using non-connected source accounts in incognito mode, which ensures access to the supplier’s most updated product data.

  2. AutoDS monitors suppliers from different proxies (IP addresses) and ZIP codes. Because of this, the details AutoDS detects may differ from what you see when browsing with your own IP address and ZIP code.

Selling site settings impacting stock

Even if AutoDS detects stock correctly, selling platform settings may cause mismatches:

  1. Use the multi-quantity listings option on eBay. Without this, eBay may not allow AutoDS to set the quantity to 0.

  2. Revoke unnecessary permissions for 3rd-party apps that manage stock/prices since they can override AutoDS.

    • eBay: Account Settings → Personal info → Sign in and Security → Third-party App Access

    • Shopify: Apps → Remove unknown apps

  3. Make sure to always edit via AutoDS, not directly on your store. Any stock or price changes made directly on your selling platform will not be tracked by AutoDS.
