Product Monitoring: How to configure your preferences

Control stock levels, automate SKU settings, and customize supplier rules to reduce order issues and improve delivery performance.

Introduction

AutoDS allows you to monitor product stock, shipping times, and supplier sources — all from a single dashboard. By setting the proper rules, you can avoid common order issues, prevent overselling, and ensure smoother order fulfillment.

This guide explains how to configure general and supplier-specific monitoring preferences to match your business needs.

Benefits

Setting up your monitoring and supplier preferences in AutoDS helps you:

  • Prevent overselling by automatically pausing listings with low or out-of-stock inventory

  • Avoid long delivery times by setting maximum shipping thresholds

  • Improve order accuracy by selecting only Prime or member-eligible items

  • Reduce manual work with automated SKU management and smart filters

  • Stay in control with supplier-specific rules for different marketplaces

How to access the product monitoring settings

  1. Log in to your AutoDS account.

  2. From the left-side menu, click Settings.

  3. Navigate to the Supplier Settings tab.

  4. Under General, configure your default preferences.





General Settings

These configurations are applied when you import a product and will only affect listings imported after the changes are made. Previously imported products will not be updated retroactively.

  1. Default weight unit
    Choose between pounds (lb) or kilograms (kg) for system consistency.
  2. Automatic SKU filling
    If enabled, AutoDS automatically fills in the SKU field with the source ID. This prevents leaving the field empty, but note that some sellers prefer disabling this to avoid exposing product sources.

These settings control when products are placed On Hold (set to quantity 0 in your store):

Description

1. Minimum product quantity

If a product's available stock on the supplier’s site falls below your threshold, AutoDS will automatically place the product as ‘On Hold’ (set to quantity 0). This prevents the item from being sold in your store with critically low inventory.

For example, if you set the minimum to five units and the supplier only has three units in stock, AutoDS will pause the listing by setting its quantity to zero on your Products page. The product will remain on hold until a future scan detects that the stock has increased or until you manually adjust this setting.

2. Maximum shipping days

AutoDS checks each product's estimated delivery time during its hourly scans. If the shipping days exceed your set value, the product will be placed ‘On Hold’ (set to quantity 0). This prevents buyers from purchasing items that may arrive too late, helping you avoid customer complaints and delivery issues.

3. Choose from the Supplier's Table (Amazon only)

When the Buy Box seller is unavailable (out of stock or not Prime), AutoDS will check the suppliers' table and monitor the seller using your settings here.

Only sellers with 80%+ feedback and 500+ ratings will be considered.

You can then select:

Cheapest First: Monitors the lowest-priced seller from the eligible list.

Prime First: Monitors the first Prime listing available. 

4.  Prime Only (Amazon only)

Enable this setting to monitor only Amazon Prime-eligible products. If a product loses Prime status, AutoDS automatically places it ‘On Hold’ (quantity 0) to protect your buyers from unreliable shipping or longer delivery times.

🔎 Note: Fulfilled by AutoDS (FBA) orders always use Prime when available at purchase, ensuring you get the best deal on price and shipping.  In rare cases, Prime cannot be applied due to unforeseen circumstances..

Walmart Only (Walmart only)

If checked, the system will place the products as 'On Hold', making them unavailable on the selling site when the item on the buy box is not part of the Walmart membership.

 Custom Rule

To add a custom rule:

  1. Click the + Add Supplier icon at the bottom left of the Supplier Settings tab.
  2. Choose a supplier from the list on the left-hand menu.
  3. Adjust the monitoring preferences for that supplier.

 

⚠️ Important: We do not support Walmart Membership or similar services for other suppliers using the FBA service, for those you will need to proceed with your own buyer account.

 


Possible Issues & Workarounds

Issue Solution
Product unexpectedly marked On Hold

Review monitoring rules: stock threshold, shipping days, or Prime/member filters may trigger this.

Shipping threshold not applying Check if the maximum shipping days are correctly configured and saved.

Frequently Asked Questions (FAQ)

Q: Can I set different monitoring rules for different suppliers?
A: Yes. Use the + Add Supplier button in your Supplier Settings tab to configure individual rules.

Q: What happens if a product exceeds my shipping time limit?
A: AutoDS will mark the product as On Hold, so it’s not listed while unavailable for your target delivery window.

Q: Should I disable the automatic SKU filling?
A: It depends. You can disable supplier IDs if you want to hide them. Otherwise, they're helpful for tracking and automation.

Q: Do these settings affect orders already placed?
A: No. These settings only affect new listings created after the changes are made in the Supplier Settings.

Any products already imported before the change — whether active or in draft — will keep the configuration applied at the time of import.

Orders already placed are also not affected by these settings.
