Introduction
Product monitoring in AutoDS is a set of configurations that allows you to monitor product stock, shipping times, and supplier sources from a single page. By setting the proper product monitoring rules, you can avoid common order issues, prevent overselling, and ensure smoother order fulfillment across your dropshipping business.
Benefits
Setting up your product monitoring settings in AutoDS helps you to:
Prevent overselling by automatically pausing listings with low or out-of-stock inventory.
Avoid long delivery times by setting maximum shipping thresholds.
Stay in control with supplier-specific rules for different marketplaces.
Minimize losses from price fluctuations between scan intervals.
Handle out-of-stock situations more effectively.
Access the product monitoring settings
Product monitoring settings are managed through the Supplier Settings page in AutoDS. To configure your product monitoring preferences:
Log in to your AutoDS account.
From the left-side menu, click Settings.
Navigate to the Supplier Settings tab.
In the Lister tab, enable the price and stock monitoring feature.
In the General tab, set minimum product quantities and maximum shipping days.
Note: All product monitoring settings apply only to products imported after you save your changes.
In the sections that follow, we detail the specifics of each of these product monitoring configurations within the General and Lister tabs of Supplier Settings.
General tab overview
Monitoring settings
The monitoring settings section in the General tab of Supplier Settings determines when products are automatically set to On Hold status (quantity 0) in your store. They safeguard you from selling items that could lead to delivery problems or unhappy customers.
Minimum product quantity
Sets products to a quantity of 0 when the supplier's stock falls below your threshold, preventing sales with critically low inventory.
Example: With a minimum of 5 units, if the supplier has only 3, AutoDS pauses the listing. The product remains on hold until stock increases or you manually adjust the setting.
Note: There is no option to set the Minimum product quantity on your Product Page. You need to update it in your Supplier Settings.
Note: Products may show as OOS in AutoDS while still available on the supplier's site if our system detects changes before the supplier updates their page.
Maximum shipping days
The maximum shipping days definition places products on hold (set to quantity 0) when the estimated delivery time exceeds your set limit. It prevents late arrivals and customer complaints.
Note: AutoDS monitors shipping times in incognito mode using standard ZIP codes for each supplier. This means the system checks standard (non-logged-in) delivery estimates during scans. When actual orders are placed, the delivery time will reflect your buyer account's benefits. Learn more about how this affects On Hold status.
To adjust: Go to Settings → Supplier Settings → [Supplier] → General tab → Maximum Shipping Days
Price and stock monitoring feature
The price and stock monitoring feature in the Lister tab of Supplier Settings work together to maintain accurate listings and prevent problematic orders. These product monitoring configurations automatically sync your inventory levels and prices with supplier changes in real-time, ensuring your store always reflects current availability and pricing from your sources.
Let's explore the two main options:
1. Price monitoring
Price monitoring in the Lister tab automatically adjusts your listing prices when supplier prices change, ensuring your profit margins are maintained and preventing losses from unexpected cost increases.
2. Stock monitoring
Stock monitoring in the Lister tab automatically sets products to 'Out of Stock' in AutoDS and your store when suppliers run out of inventory, preventing overselling and order cancellations.
Note: The price and stock monitoring feature is not available for the Import 200 plan.
Draft products are not automatically updated, either, regardless of monitoring status.

Why does my product or variation quantity keep resetting to zero?
If your product or variation quantity in your store is automatically updated to zero, it is probably because one or more of your product variations are out of stock at the supplier, and AutoDS detects this during automated scans.
How to fix this issue:
Check if stock monitoring is enabled
Go to Settings → Supplier Settings → Lister / Look for Price & Stock Monitoring and ensure it's toggled ON. If monitoring is OFF, AutoDS won't detect stock changes, and manual edits will remain unchanged.Verify stock availability at the supplier. When this happens, the quantity is automatically updated to zero on AutoDS. Go to your Products or Drafts page. Find the affected product. Click View Source Product (Drafts page) or Buy Item ID (Products page). Check directly on the supplier's website if the variation is in stock. If the supplier shows "Out of Stock" or "Unavailable," AutoDS is correctly updating your store to reflect this.
Step 3: Adjust your default quantity settings. Go to Settings → Supplier Settings → Lister. Find Default Product Quantity. Set how many units you prefer to display as available in your store (e.g., 10, 50, 100). AutoDS will automatically replenish and maintain this displayed quantity as long as the product remains in stock at the supplier.
Wait for the next monitoring scan: After enabling stock monitoring or confirming supplier availability, wait a few hours. AutoDS performs multiple scans per day, and updated information should be accurately reflected after the next scan
How AutoDS product monitoring works
AutoDS monitors product prices and stock levels through scheduled scans conducted multiple times a day. These scans ensure that your store data stays aligned with supplier updates, although they don’t occur in real-time.
As a result, if a supplier changes the price or stock status of a product after the last scan, that change will only be reflected in your store once the next scheduled scan is completed.
This means that, between scans, there may be a short delay before supplier updates are reflected in your store. AutoDS automatically corrects these differences during the following scheduled scan, ensuring that your listings stay consistently updated and aligned with supplier data.
Product monitoring timing example
Here’s a simple example of how a monitoring gap can affect an order:
3:00 PM: AutoDS scan detects the product is in stock at $10.
3:15 PM: The supplier increases the price to $20 or marks the item out of stock.
3:30 PM: A customer purchases from your store at $12, based on the previous data.
4:00 PM: The next AutoDS scan runs and detects the supplier’s change, but the order has already been processed.
In this scenario, the order would be fulfilled at a loss because the system was using information from the earlier scan.
Important:
Manual activation required:
Price and stock monitoring in the Lister tab of Supplier Settings must be manually enabled for product monitoring to function. These settings are not active by default.
Discrepancies between AutoDS and supplier sites:
Occasionally, a product may be listed as 'Out of Stock' in AutoDS, even though it remains available on the supplier's website. This happens when:AutoDS monitoring scans detect stock changes before the supplier updates their public-facing website.
The supplier's inventory system updates faster than its website display.
There's a delay in the supplier's website cache or content delivery.
In these cases, AutoDS product monitoring is working correctly by detecting the actual inventory status, even if the supplier's site hasn't been visually updated yet.
Monitoring method for Amazon suppliers:
AutoDS monitors Amazon shipping times in incognito mode, without being logged into any Amazon account. Because of this, the delivery estimate shown by our system reflects the standard (non-logged-in) Amazon shipping estimate, not Prime-specific delivery times.
When an actual order is placed, the delivery time used will be the one shown at the moment of purchase on your buyer account (for example, when you are logged in with Amazon Prime).
To adjust your settings: You can adjust your maximum shipping times in Supplier Settings. The system will update them on the next hourly scans, usually in 1-2 hours.
Important: The maximum shipping time setting uses the delivery date, not the shipping date.
Tips to prevent monitoring issues
While product monitoring in AutoDS works continuously to keep your listings accurate, you can implement additional strategies to minimize the risk of processing orders at a loss or when items are out of stock. These preventive measures provide an extra layer of protection beyond the standard product monitoring configurations in the Lister tab of Supplier Settings.
Strategies to strengthen your product monitoring protection:
1. Use the maximum loss setting
Enable the maximum loss setting in AutoDS to automatically block orders where the source price increase would result in a loss greater than your acceptable threshold.
This prevents you from fulfilling orders that would negatively impact your profit margins due to unexpected supplier price changes between monitoring scans.
3. Increase your profit margin
Consider increasing your profit margin or break-even buffer in the AutoDS pricing settings to absorb price fluctuations between monitoring scans. A higher margin provides cushion against unexpected price changes, reducing the likelihood of processing orders at a loss. This strategy is particularly effective for products sourced from suppliers with volatile pricing.
4. Manually verify availability
If you use manual ordering in AutoDS, verify product availability and pricing on the supplier's website before fulfilling orders. This extra verification step can catch price and stock changes that occurred between product monitoring scans, though it requires more hands-on management of your order fulfillment process.
5. Offer alternatives to buyers
When an item becomes unavailable or too expensive to fulfill profitably, proactively offer alternatives to your buyer. You can suggest processing the order using a different supplier or utilize the AutoDS Sourcing Service, which helps you find alternative sources for the same or similar products while maintaining your profit margins.
6. Open a support ticket
If product monitoring scan data appears inconsistent or if no AutoDS monitoring scan update occurs within 1 hour, open a support ticket with AutoDS support. The support team can investigate specific cases, check monitoring logs, and help resolve unusual situations related to the product monitoring feature in your account.
Note: Because AutoDS product monitoring scans occur more frequently than third-party tracking tools (such as Keepa.com or CamelCamelCamel.com), those external tools may miss short-lived price or stock changes. Always rely on AutoDS as your primary source of truth for accurate, up-to-date information from product monitoring scans.

Does AutoDS show the supplier's exact real-time stock quantity in my store?
Does AutoDS show the supplier's exact real-time stock quantity in my store?
AutoDS monitors product prices and stock levels through scheduled scans conducted multiple times per day. This approach keeps your store data aligned with supplier updates. However, there may be a short delay before changes are reflected in your store if a supplier updates stock between multiple scans per day, rather than in real-time.
How AutoDS stock monitoring works:
AutoDS performs automated scans of your products multiple times per day to check for price and stock changes at the supplier. These scans occur automatically when you have Price and Stock Monitoring enabled in your Supplier Settings. However, this feature is not available on the Import 200 plan. Since scans happen at scheduled intervals rather than continuously in real-time, there may be a brief period where your store displays stock information that differs from the supplier's current inventory.
What happens if the stock changes between scans:
If a supplier updates their stock quantity between AutoDS scans, your store will continue to show the stock level from the previous scan until the next scheduled scan occurs. AutoDS will automatically correct these differences during the next scheduled scan, ensuring your listings stay consistently updated and aligned with supplier data.
Workaround to prevent low stock issues:
To avoid selling products when the supplier's stock falls below a certain level, increase your Default Product Quantity setting in Supplier Settings. This setting controls the quantity displayed in your store for each new listing and works together with the Minimum Product Quantity threshold to automatically place products On Hold when supplier stock drops below your configured minimum.
How it works:
Go to Settings → Supplier Settings → Lister.
Set your Default Product Quantity to a higher number (e.g., 100, 500, or 1000).
In the General tab, configure your Minimum Product Quantity threshold (e.g., 10 units).
When the supplier's stock falls below your minimum threshold, AutoDS automatically sets the product to On Hold (quantity 0 in your store), preventing orders from being placed when stock is critically low.
Important: Changes to default quantity settings only apply to new products uploaded after you save the changes. To update the quantity for existing products in your store, use the Bulk Edit feature on your Products page.
Why is my product unexpectedly marked On Hold?
Why is my product unexpectedly marked On Hold?
When a product is unexpectedly marked on hold by product monitoring, review your product monitoring configurations in the monitoring settings section (General tab - Supplier Settings). Common triggers include:
Stock threshold: Inventory dropped below your minimum product quantity.
Shipping days: Shipping time exceeded your maximum days limit.
Prime/Walmart filters: Lost Prime or Walmart membership eligibility.
Price changes: Price increased beyond your acceptable threshold.
Product monitoring places products on hold automatically when they fail to meet your configured criteria, protecting your store from fulfillment problems and unprofitable orders.
Why is my shipping threshold not applying in the product monitoring settings?
Why is my shipping threshold not applying in the product monitoring settings?
If your shipping threshold is not applying in product monitoring, check if the maximum shipping days are correctly configured and saved in the monitoring settings section (General tab - Supplier Settings).
Make sure you've clicked the Save button after setting your preferred maximum shipping days in your settings. If the issue persists, try refreshing the page and reconfiguring the threshold.
