Shopify orders in AutoDS: fulfillment and troubleshooting

Learn how Shopify orders and fulfillment work in AutoDS, from the Request fulfillment button and order statuses to shipping confirmation emails and ZIP codes.

After your Shopify buyers place orders, those orders arrive in AutoDS, where you fulfill them, and AutoDS sends the fulfillment status and the tracking number back to your Shopify store. Because each order exists in both places, what you see in Shopify, such as a fulfillment status, a button, or an order marked as canceled, can look different from what you see in AutoDS.

This article explains the parts of order management that are specific to Shopify: what the "Request fulfillment" button does, how the shipping confirmation email works, what the Awaiting Payment, On Hold, and canceled statuses mean in a Shopify store, how to handle orders with a missing ZIP or postal code, and what to check when a Shopify order does not appear in AutoDS. The general behavior of orders, statuses, and tracking is explained in the Orders page article, and this article covers only what changes for dropshipping with Shopify.

Key points about Shopify orders in AutoDS

  • Test orders made with Shopify Payments in Test Mode are imported like regular Shopify orders. They only need to appear in your Shopify Orders list to also show on the Orders page in AutoDS.

  • AutoDS reads the ZIP code only from the standard postal code field of the Shopify shipping address. In countries without postal codes, the field can arrive empty, so you add a placeholder code to the order manually.

  • A shipping protection line added at checkout, such as AfterShip Protection, arrives as a second order without a supplier product. Only the real product needs to be connected to bring its orders into monitoring and automation.

  • The "Request fulfillment" button in Shopify is not part of the AutoDS fulfillment flow. AutoDS pushes updates to Shopify, but Shopify does not trigger actions in AutoDS, so there is no need to click it.

  • Shopify reserves one unit of your available quantity for each order in progress. This is expected with every fulfillment method and does not mean anything is wrong with the order.

  • The Orders page in AutoDS shows the real status of a Shopify order. If an order that AutoDS is still processing shows as canceled in Shopify, please share the order details with us so we can check it.

  • Shopify shows an order as Fulfilled once AutoDS sends the tracking number. AutoDS sends it after the supplier ships the item.

  • The shipping confirmation email is sent by Shopify, according to your store notification settings. AutoDS syncs the fulfillment status and the tracking number to your store.

  • TikTok Shop connected through Shopify, the quantity selector, and sales by country are managed in your Shopify admin. To have AutoDS manage a TikTok Shop, connect it as its own TikTok Shop store.

Orders from your Shopify store in AutoDS

When a buyer places an order in your Shopify store, AutoDS imports the order to the Orders page, where you process it with one of three fulfillment methods: Fulfilled by AutoDS (FBA), Auto-Order with full or semi-automation, or manual. The entries below explain what to check when an order from your Shopify store needs a closer look on arrival.

Finding a Shopify order that is missing in AutoDS Orders

When a Shopify order is missing on the Orders page in AutoDS, first check that the order appears in your Shopify Orders list.

Shopify lets you place a test order to check that your checkout works, which simulates a purchase without a real charge. If you use Shopify Payments, you can place the test order by turning on its test mode. A test order placed with Shopify Payments in test mode is imported to AutoDS like any other order, as long as it appears in your Shopify Orders list.

If the order is in your Shopify Orders list but is still missing on the Orders page in AutoDS, renew your token, resync your store, and wait up to 2 hours for the order to appear. The recovery steps for Shopify stores also include checking that the product is active in AutoDS and has no monitoring errors.

If the order is still missing after these steps, please let us know by sharing the order number from your Shopify admin under "Orders", for example #1001, and a screenshot of the order in Shopify.

Orders marked as On Hold or Awaiting Payment

Every order on the Orders page in AutoDS shows a status in the Status column, which tells where the order stands in the fulfillment process. If an order from your Shopify store shows the Awaiting Payment status in AutoDS, the same order appears as On Hold or Awaiting Payment in your Shopify admin.

The status is set by Shopify when the payment for the order has not been completed yet or is still being processed. This behavior is fully controlled by Shopify. AutoDS receives the order data from Shopify through the integration, and it does not create, modify, or override orders added directly through the selling channel. When the integration reports this status, AutoDS places the order on hold and shows Awaiting Payment on the Orders page.

To follow a Shopify order that shows Awaiting Payment in AutoDS:

  1. Check the order details in your Shopify admin: go to "Orders" and open the order to review the hold reason.

  2. Wait for Shopify to complete or confirm the payment of the order.

Once Shopify confirms the payment, the order status in AutoDS will update automatically and proceed as usual.

If the payment remains pending or the status in AutoDS does not update, contact Shopify Support for assistance.

AfterShip Protection and other protection lines as a second order

In a Shopify store, a shipping protection or insurance line, such as AfterShip Protection, is an optional add-on that the seller activates in the store settings. It gives the buyer extra coverage against loss, theft, or damage of the package while the carrier transports it, and it is added at checkout. This line is not a product from a supplier, so Shopify splits the original order into two orders in AutoDS: the order for the real product and the order for the protection line.

On the Orders page in AutoDS, the protection line shows the Unmonitored status, because it has no supplier product to connect. It can show the error "Missing linked product", or a message such as "This product is not connected to AutoDS. You can find and manage it under Untracked Products". In both cases, the order remains Unmonitored, which is expected.

The reliable way to identify a protection line is by the product title. Common names include AfterShip Protection, Route, Shipping Protection, Package Protection, and shipping insurance.

No action is needed on the protection line itself. Only the order for the real product needs to be connected to bring it into monitoring and automation.

Orders with an empty ZIP or postal code

An order from your Shopify store can arrive on the Orders page in AutoDS with an empty ZIP or postal code field. One possible reason is that the order was placed in a country that does not use postal codes, such as the United Arab Emirates (UAE): when your Shopify store is configured for a market that does not require them, Shopify does not show a ZIP or postal code field at checkout. An empty field can lead to an address error on the order.

Why the field stays empty

AutoDS reads the postal code only from the standard postal code field of the Shopify shipping address, so a field that is empty in Shopify is also empty in AutoDS. AutoDS does not read the code from order notes, order attributes, or custom metafields, and it has no setting that adds a default ZIP or postal code, such as 00000, for countries without postal codes.

Add the placeholder ZIP code manually

For countries like the UAE, which use 00000 as the standard placeholder when a postal code is required, add the placeholder to each affected order.

To add a placeholder ZIP code to an order:

  1. Locate the affected order on the Orders page.

  2. Change the order status to Pending.

  3. Click the three dots (⋮) and select "Edit Order".

  4. Open the "Buyer" tab and enter 00000, or the placeholder used in that country, in the "ZIP or Postal Code" field.

  5. Click "Save".

  6. Change the order status to Send to Auto-Order to process the order through automation.

Processing your Shopify orders

Once a Shopify order is on the Orders page in AutoDS, AutoDS processes it according to the fulfillment method you use, while your Shopify admin keeps showing the order with its own buttons, quantities, and statuses. The entries below explain what you see in Shopify while an order is processed in AutoDS.

What the "Request fulfillment" button does

Shopify has a "Request fulfillment" button on each order's details page, accessible from "Orders" in your Shopify admin. It appears in the Unfulfilled section, next to "Mark as fulfilled". The button sends a request to a fulfillment service, such as an app that prepares and ships products to your customers. Because AutoDS appears as the location of your products in Shopify, the button may also appear on your orders.

You do not need to click "Request fulfillment" to process orders through AutoDS. AutoDS handles order fulfillment through Fulfilled by AutoDS (FBA), Auto-Order, or manual order processing. AutoDS sends order updates and tracking information to Shopify through the API. Clicking "Request fulfillment" does not trigger order processing in AutoDS. What happens to your order if you click it depends on your fulfillment setup, as explained below.

What happens if you click "Request fulfillment"?

If you click "Request fulfillment" in Shopify, the result depends on how you fulfill the order. The normal process of each fulfillment method is explained in its own article, linked below, and this section explains what happens to the order in AutoDS if you click the button in Shopify, and what you need to do to keep processing the order normally.

Full automation (FBA or Auto-Order)

  • What you see in Shopify: Shopify displays the message "Request declined", which refers to the request sent from the button.

  • What happens in AutoDS: The order keeps being processed. The message appears because AutoDS has not received the tracking number yet, so the request is not acknowledged, and Shopify does not have direct access to your AutoDS account.

  • What you need to do: No action is needed. Once the supplier ships the item and AutoDS receives the tracking number, AutoDS automatically sends the tracking update to Shopify, and the order status changes from "Request declined" to Fulfilled.

Fulfillment location changed after the order arrives

If you change the fulfillment location in Shopify after AutoDS has already received the order:

  • What happens in AutoDS: AutoDS continues processing the order. Changing the fulfillment location in Shopify does not affect the automation.

  • What you need to do: No action is needed, and you do not need to click "Request fulfillment". AutoDS automatically sends the tracking update to Shopify when the item ships.

Tracking only (Auto-Order semi-automation)

  • What happens in AutoDS: Clicking “Request fulfillment” does not trigger any action. AutoDS receives the supplier’s tracking number once the item ships, the order status changes to Shipped, and the tracking number becomes available on the Orders page. When the order is in Shipped status and has a tracking number, AutoDS syncs it to Shopify, and Shopify shows the order as Fulfilled.

  • What you need to do: No action is needed when AutoDS has the tracking number. If the order has no tracking number in AutoDS, it stays Unfulfilled in Shopify until you add the tracking number in AutoDS, or mark the order as Fulfilled in your Shopify admin.

Manual orders

If you process orders manually through AutoDS, without automation:

  • What you see in Shopify: Clicking "Request fulfillment" gets no response because no service is connected to respond to the request.

  • What happens in AutoDS: The click does not trigger order processing.

  • What you need to do: Manage the fulfillment of the order yourself, and send the tracking number to Shopify through AutoDS when you have one.

To fulfill a manual order, place the order with the supplier, and then:

    • If you have a tracking number: Change the order status to “Shipped” in AutoDS and add the tracking number and the shipping carrier by editing the order details. AutoDS syncs the tracking number to your Shopify store.

    • If you do not have a tracking number: Mark the order as Fulfilled in your Shopify admin.

Why the available quantity drops by one

In a Shopify store, the inventory of each product is tracked in different states. The Available quantity is the number of units you can sell, which is what your buyers see in your store. The Committed quantity is the number of units set aside for orders that are not fulfilled yet. The On hand quantity is the total of all the units at a location, including the available and the committed ones.

When an order comes in, Shopify moves one unit from Available to Committed. For example, if the quantity of a product is set to 10 in AutoDS and an order comes in for one unit, your Shopify store shows 9 available, with 1 unit committed and 10 on hand.

This is expected Shopify behavior, and it does not mean there is anything wrong with the order or the stock. The available quantity decreases by one for each order in progress, with every fulfillment method and whether or not you clicked "Request fulfillment".

To keep selling while an order is being processed, increase the product quantity manually in your Shopify store. To see how the quantity of your Shopify products works in AutoDS and how to change it, see the related article.

Orders canceled in Shopify but in progress in AutoDS

In AutoDS, the Orders page shows the real status of each order. If an order from your Shopify store appears as canceled in your Shopify admin while AutoDS shows it as in progress, consider the status shown in AutoDS: the order can still be processed successfully, even though Shopify shows a different status.

Keep in mind that changing the status of an order manually in AutoDS is not recommended. The change only updates what you see in AutoDS, and it is not passed on to your Shopify store or to the supplier, as explained for manual status changes.

If an order that AutoDS is processing keeps appearing as canceled in your Shopify store, please let us know by sharing the Shopify order number and a screenshot of the order in Shopify, so we can check the specific order.

After the order ships: Fulfilled status and shipping confirmation email

When the supplier ships an order from your Shopify store, AutoDS sends the tracking number to Shopify, and Shopify updates the fulfillment status of the order. Whether this happens automatically or you do it yourself depends on your fulfillment setup.

When Shopify shows an order as Fulfilled

With full automation, through Fulfilled by AutoDS (FBA) or Auto-Order with full automation, Shopify shows an order as Fulfilled when AutoDS sends the tracking number after the supplier ships the product. The tracking number usually becomes available 24 to 48 hours after the order status changes to Ordered. Until the tracking number is available, the order remains unfulfilled in Shopify.

The same applies to Auto-Order semi-automation (tracking only): once AutoDS has the tracking number and the order is in Shipped status, Shopify shows the order as Fulfilled.

If you process orders manually, add the tracking number in AutoDS when you change the order status to “Shipped”, and AutoDS syncs it to Shopify, as explained in the manual orders scenario. Without a tracking number, mark the order as Fulfilled in your Shopify admin.

Shopify has only two fulfillment statuses, Unfulfilled and Fulfilled, so AutoDS does not send the Delivered status to Shopify.

Who sends the shipping confirmation email?

Shopify sends the shipping confirmation email to your buyer, according to the notification settings of your Shopify store. AutoDS syncs the fulfillment status and the tracking number to your store, and this applies to orders fulfilled with Fulfilled by AutoDS (FBA) and to Shopify stores in general. AutoDS has no setting that turns this email on or off.

When AutoDS syncs the tracking number to your Shopify store, your buyer may not see the tracking automatically, because it depends on the notification settings of the store. If a buyer does not receive the email after an order shows as Fulfilled in Shopify, check the notification settings of your Shopify store, as explained in Shopify's notification settings.

To check the shipping notifications of your Shopify store:

  1. In your Shopify admin, click "Settings".

  2. Click "Notifications".

  3. Review the Customer notifications about shipping.

Settings you manage directly in Shopify

Some sales channels and settings are managed in Shopify rather than in AutoDS. This includes the sales channels you integrate inside Shopify, such as TikTok Shop, Facebook Shop, Instagram Shopping, and Google Shopping. The entries below explain where to manage each one.

TikTok Shop connected through Shopify

If you connect your TikTok Shop through Shopify's native TikTok integration, the TikTok Shop is managed through your Shopify account, not as a separate store connected directly to AutoDS. AutoDS manages the Shopify store you connected to it, but it does not manage the TikTok Shop connected through Shopify.

To manage this TikTok Shop:

  1. Log in to your Shopify admin.

  2. Go to "Sales channels" and select "TikTok".

  3. Manage your product listings, inventory sync, pricing, and fulfillment settings through Shopify's TikTok integration.

Shopify's integration handles the configuration, product syncing, inventory updates, pricing changes, and order fulfillment of this TikTok Shop. For detailed instructions, see Shopify's guide to the TikTok integration.

If you want AutoDS to manage your TikTok Shop products, inventory, and orders, connect your TikTok Shop directly to AutoDS as a separate store. A TikTok Shop is connected either through Shopify's integration or directly to AutoDS, not to both at the same time.

Quantity selector for your customers

The quantity selector on a Shopify product page lets customers choose how many units of a product they want to purchase. You can manage this option in your Shopify theme editor. Its availability and configuration depend on your active theme.

To check or enable the quantity selector:

  1. Go to "Online Store" → "Themes" in your Shopify admin.

  2. Click "Customize" on your active theme.

  3. Open the product page template.

  4. Look for the quantity selector option in the theme settings and enable it if available.

The exact steps and setting names vary by theme. For theme-specific instructions, see the Shopify Help Center.

Restricting sales to a specific country

The countries your Shopify store sells to are defined by the shipping zones in your Shopify admin, which control which countries can complete checkout in your store. To sell to only one country, keep that country in your shipping zones and remove the others.

To restrict sales to a specific country:

  1. Log in to your Shopify admin.

  2. Go to "Settings" → "Shipping and delivery".

  3. Create a shipping zone that includes only the country you want to sell to.

  4. Remove the other countries from your shipping zones.

  5. Click "Save" to apply the changes.

The Ship to Country setting in AutoDS, located in "Settings" → "Supplier Settings" → "General", has a different function: it tells AutoDS which regional version of the supplier's site to read data from, so AutoDS can extract accurate pricing, currency, variations, and shipping estimates for that destination. It does not decide which customers can place orders in your store.

For detailed guidance on shipping zones, see Shopify's guide to shipping zones.
