In the world of automated dropshipping, staying on top of your order statuses is essential. AutoDS uses a clear set of order statuses to help you track and manage every order from purchase to delivery. 

This guide will explain what each status means, so you always know where your orders stand and what actions, if any, you need to take.

By understanding each order status in AutoDS, you can manage fulfillment more efficiently, avoid unnecessary delays, and ensure smoother customer experiences.

Statuses Overview

Whenever you’re handling your orders from your Orders Page on AutoDS, you are going to find 5 main statuses your order can have: Pending, Ordered, Shipped, Delivered, and Canceled.

Orders Statuses

Important to know:

  • Automation: If you’ve chosen to use automation — whether FBA or Auto-Order — do not manually change the order status from Pending to Ordered. This will interrupt the automation process and your order may not be fulfilled correctly.

    The system will automatically update the status once the order is processed. Keep in mind that orders may take up to 24-48 hours to be processed.
  • Manually: If you choose to handle orders manually, Pending will be the only status automatically shown on your Orders Page — the rest must be updated by you. Learn more.


Here’s a breakdown of each order status in AutoDS:

Pending

Order is waiting for your action or automation processing.

 

Place the order manually on the supplier’s website and update the statuses yourself as the order progresses. Learn more.

Send to automation:
1. Check order processor add-on and supplier automation settings.
2. Update status to Send to Auto Order.

Edit the Order: If you manually changed the status to Pending, wait a few minutes so the system registers the change.
Then, click
More Options > Edit Order, update the necessary details in the pop-up window, and click Save to apply the changes.

In Order Progress

Order is being processed through automation.

Yellow: Queued for processing. Wait at least 24-48h.



White: Being processed now, no action needed — will change to Ordered or failer automatically.

Ordered


Order was successfully placed with the supplier.


Confirm automation
by checking the icons:
  Fulfilled By AutoDS or Auto Order.

Follow the tracking updates using the orders logs: Order Logs & Tracking Updates.

Shipped

Supplier shipped the order and tracking number was added.

Tracking under Tracking Number column

If your supplier is Amazon, an “Amazon Screenshot” will appear under the Shipped status. It shows delivery updates directly from Amazon, offering more transparency and reliable tracking.

Delivered

Item delivered to the buyer (confirmed by tracking).

No action needed unless buyer reports issue.

Click tracking number to check real-time updates and proof of delivery on 17Track.

Canceled

Order was manually marked as canceled.

eBay stores: When you mark an order as “Canceled” on AutoDS, you’ll be asked if you want to cancel it only in AutoDS or also on your eBay selling channel.

Other channels: AutoDS may automatically cancel the order on the selling channel without asking.

Important: If the order has already been processed (manually or by automation), marking it as “Canceled” will not cancel it with the supplier.

For manually handling, you'll need to go to the supplier and cancel the order.

FBA orders cannot be canceled through AutoDS after the status is 'Ordered'.

Awaiting Payment
(eBay stores only)

Buyer hasn’t paid yet.

Wait for buyer payment. If paid, change status to Mark as Paid manually.

Payment Revision
(AliExpress auto order only)

Order placed but not paid.

Log in to your AliExpress account and pay manually. Status updates to Ordered once paid.

Unmonitored

The product was removed from AutoDS.

Or the order became untracked after a store re-sync, but it still received an order.

 

- Reconnect the product:
Click N/A - Add Product to add your product to your listing again.

- Try to fulfill your order from our private suppliers through the Sourcing Request.

- Process order manually.

Invalid Buyer Address

Incomplete address, uses non-Roman alphabet, a language other than English, or abbreviations.

Ensure the address includes all necessary fields without abbreviations: street name with number, full country, state, and city names, and ZIP code.

Use only English and Roman characters.

Out-of-Stock Item

The item became unavailable during order processing.

Replace the product manually with a similar one, or submit a Sourcing Request for AutoDS to try sourcing it from another supplier.

Supplier Website Error

The supplier changed, removed, or redirected the product page.

Try submitting a Sourcing Request  for that product, or contact our Orders support team.

Insufficient Balance

You’re using FBA (Fulfilled by AutoDS), but your balance is too low to complete the purchase.

Add sufficient funds to your AutoDS balance to cover all pending orders you wish to automate. Learn more about FBA requirements.

Frequently Asked Questions (FAQ)

Q: How long does it take to move from “In Order Progress” to “Ordered”?
  • Orders are usually completed in a few minutes, but it can take up to 24 hours.

  • If it remains in progress after 24 hours, submit a ticket to the Orders Team.




Q: My buyer wants to cancel. Can I just mark it “Canceled”?
  • You can change the status to “Canceled” in AutoDS.

  • ⚠️ If the order was already processed (manually or automatically), this won’t cancel it with the supplier.

  • Always update statuses in AutoDS first before making any changes on your selling channel.




Q: What happens if I try to cancel a Fulfilled by AutoDS (FBA) order?

When you manually change an FBA order’s status to “Canceled” in AutoDS:

  • ❌ It does not cancel the actual order with the supplier.

  • 🚫 It simply interrupts the automation (e.g., from “Ordered” to “Shipped”).

  • 📉 The order will be excluded from profit calculations in your AutoDS Dashboard.

  • 🔄 For eBay, the cancellation is also sent to the selling channel.

  • ⚠️ Important: FBA orders cannot be canceled through AutoDS. 

What should I do instead?

If a buyer requests cancellation for an FBA order, you can still:

  • Wait to see if the order can be returned after it ships.

  • Communicate clearly with the buyer and offer post-delivery solutions if needed.

  • Request a return label.

Q: Why hasn’t the status changed to “Shipped”?
  • Check the Estimated Arrival column — it may still be within the expected timeframe.

  • Our system checks and updates tracking every 6–12 hours once it’s available.




Q: The order shows “Delivered” in AutoDS but not in my store.
  • AutoDS does not update the “Delivered” status on your selling channel.

  • Delivery status will update depending on your store’s rules:

    - Your buyer confirmed delivery

    - You manually marked it as delivered

    - Your selling channel marked it as delivered

Each selling platform has different rules. Even if tracking shows delivery in AutoDS, your store may not update unless the platform supports it.

  • Some platforms (like eBay) update automatically from tracking. 
  • Others (like TikTok Shop or WooCommerce) require you to update the status manually. 

For reference, this is what your selling channel will display at each stage of the order process, only if you use the FBA service and auto-order (full or semi-automation):

Q: My order is stuck in “Pending”. When will it process?

“Pending” means it’s waiting for you to act. The system won’t process it unless:

  • Automatic Orders” is enabled in your Supplier Settings

  • Or, you manually change the status to “Send to Auto Order”

If you’re managing the order manually (without automation), AutoDS will not update the order status for you. You’ll need to update each status manually as your supplier progresses with the order.




Q: Order says “Delivered” but the buyer didn’t receive it.

Here’s what to do:

  • Use the tracking number as proof of delivery in case of disputes.

  • If it’s Amazon, check the Amazon Screenshot for proof of delivery.

  • Check the carrier’s website — they may have photos, signatures, or delivery notes.

  • For further details, contact the carrier directly — they have the most accurate delivery info.
