Products and Drafts pages: manage, filter, and edit your listings

Learn how to control, filter, and update your listings.

Updated today

Introduction

The Products and Drafts pages in AutoDS provide centralized control over your dropshipping inventory. The Products page displays all active listings in your store, while the Drafts page allows you to review and customize products before they go live. Both pages share similar features and tools, giving you complete flexibility to manage your listings efficiently from one central location.

By understanding how these pages work, you can maintain better oversight of your inventory, apply bulk updates, and ensure all product information is accurate before publishing to your selling channels.

Benefits

  • Centralized control: View and manage all store products and drafts in one place.

  • Time-saving workflows: Apply bulk actions to update multiple items at once without opening each product individually.

  • Review before publishing: Edit titles, images, pricing, policies, and more on drafts before they go live.

  • Flexible filters: Find specific products or drafts quickly using powerful filtering options across multiple criteria.

  • Better oversight: Maintain tighter control over price, stock, listing settings, and product accuracy.

  • Avoid publishing errors: Ensure all product information is accurate and optimized before listings appear in your store.

Tips for effective product management

  • Regularly monitor listings: Keep an eye on stock levels and sales performance to make timely adjustments.

  • Use filters strategically: Combine multiple filters to pinpoint specific groups of products for targeted actions.

  • Leverage bulk actions: Save time by updating multiple listings simultaneously instead of individually.

  • Customize your view: Adjust the displayed columns to focus on the most relevant information for your workflow.

  • Review drafts before publishing: Take advantage of the Drafts page to ensure all product information is accurate and optimized.

  • Upload as drafts first: For multi-variation products, upload them as drafts first, then edit them before publishing to your selling channel.

  • Always edit via AutoDS: Never make changes directly on your selling platform, as AutoDS will not track those changes.

Products page overview

The Products page serves as your central hub for managing all active listings across your connected selling channels. This page provides comprehensive visibility into your inventory status, performance metrics, and listing details.

To access the Products page:

  1. Go to your AutoDS account.

  2. Click Products in the left-hand menu to open the Products page and view all listed items.

Products page main sections

The Products page is divided into two main sections to help you track updates and manage listings:

  • Top section - Bulk actions: Shows recent bulk operations you performed, such as bulk uploads, bulk edits, and bulk listing changes, to help you track major updates.

  • Bottom section - Listings overview: Displays all product listings and provides filtering options to locate items by supplier, status, stock level, or account. This layout improves control and visibility for both bulk updates and individual item reviews.

Drafts page overview

The Drafts page in AutoDS allows you to review, edit, and customize products before they go live in your store. By working with drafts, you gain full control over your listings and can avoid publishing errors or incomplete information.

Whether you upload products manually or through AutoDS automation, the Drafts page gives you a chance to polish each listing before it goes live.

To access the Drafts page:

  1. In your AutoDS account, click Drafts in the left-hand menu.

  2. The page will display all products you've added but not yet published.

Note: Drafts are created whenever you import products and select Edit Now (Quick Now). Products in Draft may show inaccurate stock or price information, as monitoring only begins after they are imported.

Drafts page actions

The Drafts page provides various actions to help you manage your draft listings efficiently. For each draft, you can see the destination store, selected supplier, variants count, and access to view the source product to check the product on the source site.

Import status progress

Each product draft has a status label in the right-hand column. These indicate whether the import was successful or if there's an issue to address:

Status

Description

Next Step

Import In Progress

The system is currently importing the product. This can take up to 30 minutes or more, depending on how many products are being imported or uploaded.

Wait for the import to complete. If not completed within 30 minutes, wait up to 24 hours before retrying; this could be due to server overload.

Imported Successfully

The product was imported without issues and is ready for editing or publishing.

Edit the draft or publish it directly.

Failed to Import

There was a problem with the product import. Hover over the status to view the reason for failure.

Correct the issue or delete the draft.

Tip: Hover over any draft status for more details. When a draft fails to import, hovering over the status label often reveals the exact reason, such as "Internal error to the application." This helps you quickly identify and resolve issues without the guesswork.

Product statuses explained

Your product's status tells you exactly where it stands in terms of availability and monitoring. Understanding these statuses helps you track availability and syncing across your inventory.

Where to find product statuses

To check your product statuses in AutoDS:

  1. Open the Products page from the left-side menu.

  2. Locate the Status column in your product table.

  3. Review the status displayed for each product (Available, On Hold, or Out of Stock).

Every item displays its status so you can track availability and syncing. Statuses reflect the latest monitoring scan from the source site together with your configured settings.

Status

Description

Available

The product is in stock on the supplier's website. It meets your AutoDS settings (pricing, shipping, stock monitoring). It stays live and listed in your store.

On Hold

The product is available at the source. It doesn't match one or more of your configured settings/filters (e.g., price limits, shipping time, policies). AutoDS pauses listing/monitoring until the setting is adjusted.

Out of Stock (OOS)

The product is out of stock on the supplier site based on the latest scan. AutoDS sets the item to OOS in your store and removes it from live listings to protect performance.

Filters: customize and save views

The filtering system works consistently across both the Products and Drafts pages, allowing you to find what you need in seconds. You can apply conditions, choose how they combine (Match All/Any), and save your favorite setups as reusable views. Use filters for status, supplier, store, date, price, tags, IDs, tracking, and more to keep your daily workflow focused and consistent.

Benefits of using filters on your products or drafts:

Using filters provides several advantages for managing your inventory:

  • Find results faster: Jump straight to the exact items by status, supplier, store, dates, prices, tags, IDs, or tracking.

  • Save time every day: Create saved views once and reuse them with a click.

  • Streamline bulk actions: Pre-filter targeted sets to update many records efficiently.

  • Improve accuracy: Combine conditions with Match All/Any to narrow precisely to what matters.

  • Standardize your workflow: Name and reuse views so you and your team work with the same criteria.

How to apply filters

To apply filters on either the Products or Drafts page:

  1. Open the page where you want to work (Products or Drafts) and click Add Filter.

  2. Choose a filter category, then set the criteria you want to use.

  3. Review the matching items that appear after applying the filter.

  4. Click Add Filter again to apply more filters and refine results

  5. Save filter combinations with a custom name for quick reuse.

  6. Use filter logic:

    • Match All to show only items that meet every filter condition.

    • Match Any to show items that meet at least one condition.

  7. Clear filters individually by clicking the 'x' next to it or remove all at once by clicking Clear.

Customize your table view

AutoDS allows you to personalize the layout of your Products page, enabling you to focus on the information most relevant to your business. By customizing the table view, you can streamline your workflow and manage your listings more efficiently.

  • Focus on key metrics: Display only the data you need, such as Profit, Views, and Stock Status.

  • Simplify your view: Reduce clutter by hiding less relevant columns.

  • Organize with tags: Use the Tags column to categorize products, making inventory management easier.

  • Important: Customizing the Products table view affects only how you see the page in AutoDS. It does not change product data or impact your connected selling channels.

How to customize your Products table view

To customize the columns displayed on your Products page:

  1. Click the three lines (|||) icon to customize which columns appear on your Products page.

  2. From the dropdown menu, select the columns you want to display. Options include Product Title, Price, Profit, Stock Status, Tags, and more.

  3. Enable or disable the toggle switches to hide or show each column.

  4. Reorder the columns to create a view that suits your needs.

  5. Click Update to apply and save your layout preferences.

Tip: To improve navigation, keep only the most relevant columns visible (e.g., Profit, Views, Stock Status). If you're selling on Shopify, you can use Tags to categorize products for faster filtering.

Regrab product details: update existing products

The Regrab Product Details feature in AutoDS allows you to replace an existing product with a new one when the supplier changes the product's buy ID on the source site, or when you need to update a listing with a completely different product. This feature saves time by automatically updating product details instead of deleting and re-uploading from scratch.

Important: The Regrab Product Details feature is only available on the Products page for existing published products. You cannot use the Regrab Product Details feature if your product is a draft on the Drafts page.

When to use Regrab Product Details:

  • The supplier changed the product's buy ID or URL on their website

  • You want to replace an outdated or unavailable product with a new one

  • You need to switch to a different supplier for an existing listing

  • The original product link is broken or no longer available

Benefits of using Regrab Product Details:

  • Quickly replace products: Update listings in seconds without manual re-entry of all product information.

  • Keep listings accurate: Ensure your store always reflects the latest product information when suppliers make changes.

  • Save time: Avoid deleting and re-uploading products from scratch when only the source needs to change.

  • Maintain continuity: Keep your existing listing active while updating the underlying product details.

Important limitations: The Regrab Product Details feature works only for non-variant products (single-variation items). Variant products with multiple options (size, color, etc.) are not supported by this feature. For multi-variant products, you'll need to delete and re-upload the product.

How to regrab product details

To update an existing product using the Regrab Product Details feature:

  1. Go to the Products page from the left-side menu.

  2. Locate the product you want to update using filters or search, if needed.

  3. Click the three dots (⋮) next to the product to open the quick actions menu.

  4. Select Regrab Product Details from the menu.

  5. In the pop-up window, enter the new product buy ID or complete product URL.

  6. Update the supplier and region if you're switching to a different source.

  7. Click Update to confirm.

The system will automatically grab the new details from the supplier and replace the old product information. Your listing will remain active throughout this process, and all new product details (title, images, description, price, etc.) will overwrite the previous information.

Important: After regrabbing product details, verify that all information is correct before relying on automation. Check the product title, images, price, and item specifics to ensure they match your expectations and selling channel requirements.

Product variations management

AutoDS allows you to upload and manage products with multiple variations (e.g., size, color, or model) from supported suppliers. Product variations make it easier to offer different options for the same product within a single listing, creating a more professional shopping experience for your buyers.

Example: A product with 2 attributes (Color and Size), each offering 4 options, results in 16 variations (4 sizes × 4 colors).

Note: Remember to always check the attributes on the supplier's website. On AliExpress, for example, this information will be right below the product price. In AutoDS, you can check attributes in the product's Variants tab.

Important: Ensure that the total number of variations stays within your plan limit. If needed, upgrade to a higher-tier plan. Always monitor your listing and variation usage; upgrading in advance prevents disruptions to automation.

How to edit product variations

To edit product variations:

  1. Go to the Products or Drafts page.

  2. Select the item and open the Variants tab.

  3. Click the three-dot menu (⋮) to open the edit pop-up for each variant.

You can edit:

  • Variation name

  • Image

  • Item specifics

  • Fees and profit

  • Selling price

  • Automation and advanced monitoring options

When satisfied, save your edits and import the product to your selling channel.

Note: Selling channels may handle variations differently from suppliers.

  • eBay and Shopify: All variations share the same title and description.

  • Amazon and HomeDepot: Each variation may have its own title, description, images, and price.

This means uploading multi-variation products from some suppliers to certain channels can cause inconsistencies (e.g., one description being applied to all variations). Always review before publishing.

Product images: customize and edit

AutoDS offers a built-in image editor that lets you customize product visuals directly within the platform without needing third-party tools. Add text, apply filters, overlay icons, and more to make your listings stand out in the marketplace.

You can edit images for published products or drafts to create more engaging product listings with visual enhancements.

How to access the image editor

  1. Go to the Products or Drafts page.

  2. Click the three-dot menu (⋮) or expand the draft using the arrow icon.

  3. Open the Images tab.

  4. To add a new image, click +Add image.

  5. To edit an existing image, hover over the image and choose from the available tools.

  6. Click Save or Save & Import.

eBay Title Builder tool

The title of your eBay listings plays a vital role in helping shoppers find your products quickly. With the AutoDS eBay Title Builder tool, you can create SEO-friendly titles that improve visibility, drive more traffic, and increase sales. This feature helps your products rank above competitors and ensures you reach more potential buyers.

Benefits of the eBay Title Builder

  • SEO-friendly titles: Improve product visibility on eBay search.

  • Higher traffic: Attract more potential buyers to your listings.

  • More sales: Optimized titles help scale your store faster.

  • Competitive edge: Rank above competing sellers.

How to use the eBay Title Builder tool

To create optimized titles using the eBay Title Builder:

  1. Select the marketplace from the drop-down menu.

  2. Exclude any keywords you don't want to appear in your title.

  3. Enter the product name in the search field (no need to include color or variations).

  4. Review the keyword results, including searched keywords, average monthly searches on eBay for those keywords, the amount of competition, and the number of sales those keywords rake in.

  5. The list also gives you an idea of what other products or features people would like to purchase within the product. As a result, you will also be able to figure out what other products you can add to your store.

  6. Select the keywords you want to add to your title. Click only on terms relevant to your product.

  7. Once the optimized title is ready, click Copy and paste it into your eBay listing.

Tip: Use high-search-volume keywords and avoid keyword stuffing. Keep titles within eBay's 80-character limit.

Stock statuses

When selling online, it's common to see mismatches between product availability on your supplier's site and the status shown in your AutoDS Products Page or your selling platform. Understanding these discrepancies helps you maintain accurate listings and avoid lost sales.

'On Hold' status

When a product is marked as On Hold in AutoDS, it means the item is available on the source site but conflicts with one of your AutoDS settings. As a result, AutoDS temporarily restricts the item from being sold.

Common reasons for 'On Hold' status:

  • Over time shipping: The item's shipping estimate exceeds your "Maximum Shipping Days" setting. Check supplier delivery policies and adjust AutoDS accordingly.

  • Low stock threshold: Supplier stock falls below your "Minimum Product Quantity." Update your threshold if needed to keep selling.

  • Default quantity set to 0: A product variation may have been uploaded with 0 quantity. Go to Variants → Edit and update the value.

  • Non-membership seller (not Amazon Prime, Walmart+, etc.): Blocked unless allowed in AutoDS settings. Check your AutoDS account preferences to enable/disable marketplace sellers.

  • Expedited shipping only: If only costly expedited shipping is available (often visible at checkout), AutoDS blocks the product to protect you from losses.

  • New Source ID detected: If an ASIN or supplier ID changes, AutoDS requires review. Confirm or replace the monitored item in your Products page.

Out of Stock (OOS) status

AutoDS marks a product as Out of Stock if the last scan detected it as unavailable at the supplier.

Common scenarios for Out of Stock (OOS) status:

  • Product removed or sold out: Supplier no longer offers the item.

  • Temporarily out of stock: Product is marked as unavailable until restocked.

  • Condition changed: Item changed from New to Used/Refurbished, which AutoDS doesn't support by default.

Important: When you open a product link from the AutoDS products page, the information displayed comes from your own connected account. In most cases, this may show an outdated version of the supplier's website. AutoDS monitoring, however, is performed using non-connected source accounts in incognito mode, which ensures access to the supplier's most updated product data.

AutoDS monitors suppliers from different proxies (IP addresses) and ZIP codes. Because of this, the details AutoDS detects may differ from what you see when browsing with your own IP address and ZIP code.

Sometimes, a product may appear as Out of Stock (OOS) in AutoDS while it is still in stock on the supplier's website. This usually happens because the supplier's site has not yet been updated, but our system has already detected the change.

Troubleshooting possible issues

When managing products and drafts in AutoDS, you may encounter situations where items don't display as expected, edits don't save, or filters return unexpected results.

Selling site settings impacting stock

Even if AutoDS detects stock correctly, selling platform settings may cause mismatches:

Use the multi-quantity listings option on eBay: Without this setting enabled, eBay may not allow AutoDS to set the quantity to 0 when products go out of stock. To enable this feature, go to eBay → Seller Hub → Seller Dashboard → Preferences → check Multi-quantity Listings.

Revoke unnecessary permissions for 3rd-party apps: Third-party apps can manage stock and prices independently, overriding AutoDS updates and creating conflicts.

  • eBay: Go to Account Settings → Personal info → Sign in and Security → Third-party App Access, then remove any unknown or unnecessary apps.

  • Shopify: Go to Apps → Remove unknown apps that you don't recognize or no longer use.

Make sure to always edit via AutoDS: Any stock or price changes made directly on your selling platform will not be tracked by AutoDS. Always make updates through your AutoDS account to ensure monitoring and automation work correctly.

Common issues and practical workarounds

"Quantity is not valid (error 105 / code 515)" - eBay non-API (MIP) only

It indicates that your listing settings on eBay do not allow AutoDS to set the quantity to "0." Without it, AutoDS cannot place the item as Out of Stock (OOS) when needed. Log in to your eBay account, go to Account Settings > Selling Preferences, and turn ON the Multi-Quantity Listings option. Once enabled, your GTC (Good 'Til Cancelled) listings can have quantity "0" and remain active, allowing AutoDS to set items as Out of Stock automatically.

Frequently asked questions (FAQ)

Why do some drafts show different prices than the supplier's website?

Drafts display estimated prices based on your pricing rules at the time of import. Since monitoring only begins after products are published, draft prices may not reflect real-time supplier changes. Always verify pricing before publishing.

Can I enable monitoring for specific products while keeping it disabled for others?

You can enable or disable Price Monitoring and Stock Monitoring on a product-by-product basis through the edit menu, or use bulk edit to apply monitoring settings to selected products only.

If I manage multiple stores, do the Products and Drafts pages show items from all stores together?

The Products and Drafts pages display items from all your connected stores. Use the Store Name column and store filters to view products from specific stores separately.

Can I transfer a product from one store to another without recreating it?

Products cannot be transferred between stores directly. You'll need to import the product again to the new store, either as a draft or directly.

Tip: You can upload to multiple stores simultaneously by selecting more than one store when starting the import. This saves time when managing multiple selling channels. Learn more here on how to upload products to your store.
